Change the Status of the Project(Matter)
Bill4Time Offers Two Standard Statuses for Matters/Projects: Closed or Open. To learn how to add additional statuses in B4T, click here.
- Open the Matter.
- On the right-hand side look for Matter Status.
- Change the Status to "Closed".
Permanently Delete a Project(Matter)
It is possible for a System Admin to delete Projects from the system; however, this is only an option when the Project doesn’t contain any information. This means all Time Entries, Expense Entries, and Notes will need to be deleted from the Project.

Note: For auditing, tracking, billing purposes it may be best to simply close the Project instead as once the information is Deleted it cannot be recovered. If you're wanting to close a Project instead, click here for more information.
How to Delete a Project
- Click on the Project tab from the main menu bar
- Select the Project to Delete
- Delete all ‘Invoices’
- Go to the ‘Accounting’ tab
- Click on any item marked ‘Invoice’ to open it
- If Finalized click the blue ‘Unfinalize’ button, if/when Unfinalized click the blue ‘Delete’ button
- When prompted click the ‘OK’ button
- Repeat until there are no more marked ‘Invoice’
- Delete all ‘Work Entry’ (Time Entry) items
- From the ‘Work History’ section toward the bottom of the page, click on the first line you see that is marked ‘Work Entry’
- Click the blue ‘Delete’ button on the bottom right
- When prompted click ‘OK’
- Repeat until there are no more marked ‘Work Entry’
- Delete all 'Note' Entry items
- From the ‘Work History’ section toward the bottom of the page, click the small garbage icon at the end of the entered text for anything marked ‘Note’
- When prompted click ‘OK’
- Repeat until there are no more marked ‘Note’
- Delete all Expenses
- Go to the ‘Expenses’ tab
- Click Expense to open it
- Click the blue ‘Delete’ button on the bottom right
- When prompted click ‘OK’
- Continue until there are no more Expenses listed
- Click on the blue ‘Delete’ button on the upper right side of the screen
- When prompted click ‘Ok’
