Setting Up and Using Link2Pay

What is Link2Pay?
Link2Pay allows your firm to create a unique payment link that can be shared with anyone—regardless of whether they are an existing client. This provides a convenient way to accept payments 24/7 through your firm’s website, emails, or other channels.
How to Set Up Link2Pay

Click “Payments” in the main navigation bar.

Click “New Link2Pay” to set up a payment link.

Configure Link Settings:
- Name your Link2Pay (e.g., "Consultation Payment")

Assign an Account Manager (this person will be assigned to new clients making payments)
- If this is a new client, this user will be assigned as the account manager in B4T.
- Add a personal message for clients
- Set a payment amount (or leave blank to allow flexible payments)

Select a destination bank account (Operating or Trust)
- Trust account deposits are only available on the Bill4Time Legal Pro plan
- Request Client or Project IDs for better payment tracking

Click “Save” when finished.

Click “Copy Link” to share it via email, your website, or other platforms.
What Does the Client See?
When a client clicks your Link2Pay URL, they will be directed to a secure payment page. They must enter their first name, last name, and email address to proceed. This information helps match the payment to an existing client record or create a new one if no match is found.
Depending on your Link2Pay settings, the client will either:
- See a fixed payment amount (as set by your firm)
- Have the option to enter a custom amount
Clients can then choose their payment method:
- Credit Card
- eCheck (Account & Routing Number)
- eCheck (Secure Bank Login)
What Happens After Payment?
Once the payment is submitted, Bill4Time will:
- Attempt to match the payer to an existing client using their first name, last name, and email address.
- Create a new client record if no match is found.
- Log the payment under the client’s Accounting Tab (or Trust Account Tab, if applicable).

Requiring Client ID or Matter ID's:
- In addition to matching on the Clients Name (First/Last) the system will match on the Client ID or Matter ID as selected.
