Bill4Time's new statements feature will allow you to email monthly statements directly to your client contacts through Bill4Time. To get started, we recommend reviewing your client/matter/contact emails to ensure you have email addresses available for all clients. You can then proceed to select and email your statements using our new Statements feature. For additional guidance on configuring these options, please refer to the information below.
Statements Setup
You will need to ensure that your Statements email settings are configured to meet your specific requirements. You can find more information on how to do this here.
If you prefer contact emails to auto-populate in the "To" field when sending statements via email, please ensure that you have populated the "Email" field for the selected recipients within the Client Details tab or the "Email" field in the Project/Matter Details tab with the recipient's email address. The system accommodates multiple email addresses in this field if separated by a semicolon (;), allowing you to effortlessly send statements to multiple recipients.
Emailing Statements individually
You can email statements individually from Bill4Time in two ways from the Recent Statements or Statement History tables:
1.) From the Statements List
- On the main Statements page in the top right corner, click "View Statements".
- NOTE: lf you've just generated a new statement or batch or statements, you will be automatically taken to this screen
- Check the box to the left of the statement you wish to send.

Click the email icon located at the top right of the table and choose to send either a PDF or a Link.
2.) When viewing an individual statement
- To view a single statement, simply click on the statement line item from the table.
- From here, click the email icon located in the upper right-hand corner and choose to send either a PDF or Link.
With either scenario, a dialogue box will appear similar to the one below. Several fields will be auto-filled based on the Statement Settings that you've previously set up - After reviewing the sender, recipients, subject, and body, simply click the 'Send' button.
Email multiple statements at once
From the Recent Statements or Statement History tables:
- Check the box next to any/all statements you wish to send.
- Click the email icon located at the top right of the table and choose to send either a PDF or a Link.
- This will send each individual statement to its respective recipient
- The Subject and Body fields will inherit the default settings configured in your Statement Setup under Settings
- If you choose to email multiple statements simultaneously, you will receive a notification indicating the number of selected statements that cannot be sent due to the absence of a valid email address on file.
Emailing Statements as a PDF or Link to the Client Portal
You now have the option to email the statements as an attached PDF or as a link to view the statement in the client portal. Once you select the email icon in the upper-right corner, you will have the option to "Email as PDF" or "Email as Link".
- "Email as PDF" will send the statement to your client as a PDF attachment to the email, directly from Bill4Time
- "Email as Link" will deliver the statement via email, containing a link that will automatically redirect your clients to the client portal for viewing the statement.
