Bill4Time's new statements feature will allow you to email monthly statements directly to your client contacts through Bill4Time. To get started, please begin by reviewing your contact emails to ensure you have email addresses set up for these contacts. You can then proceed to manually select and email your statements using the new Statements option. For additional guidance on configuring these options, please refer to the information below.
UPDATING YOUR EMAILS
The initial step is to ensure that your Statement email settings are configured to meet your specific requirements. You can find more information on how to do this here.
If you prefer contact emails to auto-populate in the "To" field when sending statements via email, please ensure that you have populated the "Email" field for the selected recipients within the Client Details tab or the "Email" field in the Project/Matter Details tab with the recipient's email address. The system accommodates multiple email addresses in this field if separated by a semicolon (;), allowing you to effortlessly send statements to multiple recipients.
SENDING EMAILS INDIVIDUALLY OR IN BULK
You can manually send statements as emails from Bill4Time in two ways:
- Email a single statement

From the Recent Statements or Statement History tables:
- Select the statement you wish to email by checking the respective check box
- Click the email icon located at the top right of the table

When viewing an individual statement:

Click the email icon located in the upper right-hand corner
With either scenario, you will see a dialogue box similar to the one you see below.
Several fields will be filled out for you already. After reviewing the sender, recipients, subject, and body, please click the 'Send' button.
Email multiple statements at once
From the Recent Statements or Statement History tables:

- This will send each individual statement to its respective recipient
- The Subject and Body fields will inherit the default settings configured in your Statement Setup under Settings
- Select as many statements as you wish to email by checking the respective check box
- Click the email icon located at the top right of the table
- If you choose to email multiple statements simultaneously, you will receive a notification indicating the number of selected statements that cannot be sent due to the absence of a valid email address on file

EMAILING STATEMENT AS PDF OR LINK TO CLIENT PORTAL
You now have the option to email the statements as an attached PDF or as a link to view in the client portal. Once you select the email icon in the upper-right corner, you will have the option to "Email as PDF" or "Email as Link".
- "Email as PDF" will send the statement to your client as a PDF attachment to the email, directly from Bill4Time
- "Email as Link" will deliver the statement via email, containing a link that will automatically redirect your clients to the client portal for viewing the statement.
