Data Import: Overview

Welcome to Bill4Time! If you’re transitioning from another system, we offer data import services to help you get started quickly. Depending on your subscription plan, you can import various data points. Please follow the guidelines below to ensure a smooth import process.

Types of Imports

• Basic Import (Included with Legal Pro Plan)
  • Clients
  • Projects (Matters)
  • One-time import only
• Advanced Import (Available with Enterprise Add-On)
  • Clients

  • Contacts
  • Time/Expense Entries
  • Starting Balances
  • Requires a 3-month commitment with the Enterprise Add-On

Note: Bill4Time cannot import previous invoices or payment history from your old billing software.

• Time entries uploaded as "Billing Complete" are recorded for reference purposes.
• Time entries uploaded as "Ready for Billing" can be pulled into invoices, helping you recreate previous billing processes.

Minimum Requirements & Limitations

To ensure successful imports, please follow these requirements:

• All data in required columns (marked in blue) must be filled in.
• Client, Project (Matter), and Contact spreadsheets must contain at least 50 rows.
• Time and Expense entry spreadsheets must contain at least 100 rows.
• Time and Expense require users to be added to the system, and to be active users. Generally accommodating 4000 entries per user per year.
• Address data must be separated into distinct columns (e.g., Address 1, Address 2, City, State, Zip).

Refer to the provided Client and Project import templates for guidance.

Initiating an Import

To begin the import process, follow these steps:

1. Review Import Examples: Familiarize yourself with the sample import files.
2. Complete the Intake Form: Fill out the form to provide necessary information.
3. We will be notified of a completed form and reach out to you! 

Please do not send your actual data files until an import specialist contacts you. This ensures data security and helps confirm that files are formatted correctly.

• Imports are typically processed within 10 to 14 business days once the data is received in a complete format.
• Complex imports may take additional time.
