Bill4Time's Document Storage system enables your firm to access, organize, and manage your documents and files more easily than ever! The document storage features built into Bill4Time include the ability to upload and associate documents with clients and matters, basic document versioning, and the ability to completely customize the organizational structure of folders and sub-folders. This feature allows users to collaborate and review documents in a centralized location.
With Bill4Time, you can upload one or more files at once with custom names and descriptions.
To Upload a File:
1. Click on the blue 'Upload File' button to open the Upload Documents screen.
2. On the Upload Documents screen you can drag-and-drop files from your computer onto this screen, or click 'browse' to find and select the file you wish to upload. (You may repeat this step for as many files as you need)
3. Review the file names and descriptions for the documents selected, then click the blue 'Save' button.
Note: Depending on the size of the files it may take a few moments to complete the upload - if successful. *Upload limit 900.00 MB
By default, Bill4Time has created a folder for each of your Clients and Matters - these folders cannot be deleted. You can also create new custom folders, which can be nested within a Client, Matter, or within another custom folder - allowing you to design your own organizational structure for your file folders.
To create a Custom Folder:
1. Click on the blue 'Create Folder' button to open the New Folder screen.
2. On the New Folder Screen, enter the name of your new folder.
3. Click the blue 'Save' button, and the new folder will appear at the top of the table of documents
Note: No two folders may have the same name when in the same location. For example, multiple folders can share an identical folder name when organized under respective Clients/Matters, but they cannot share the same name within a single Client/Matter, as this would create a naming conflict.
Any individual file or custom folder (which may contain other folders and files) can be moved to a different folder location.
To Move a File:
1. Click on the three horizontal dots along the right-side of your file's row.
2. In the menu that appears, click on the option to 'Move' your file.
3. On the Move File screen, you may search for a folder by name or use the arrow icons to navigate through your folders and select a new location.
4. Click the blue 'Move' button to save your changes.
To Move a Folder:
1. Click on the three horizontal dots along the right-side of your folder's row.
2. In the menu that appears, click on the option to 'Move' your folder.
3. On the Move Folder screen, you may search for a folder by name or use the arrow icons to navigate through your folders and select a new location.
4. Click the blue 'Move' button to save your changes.
Note: On the Move screen, clicking on 'Documents' will relocate your file/folder to the Firm-level, which is the highest level of organization in the hierarchy.
A File may be copied into a new version. As well, a Folder may be copied and all of its contents (including files and sub-folders containing other files) will be duplicated as well.
To Copy a File:
1. Click on the three horizontal dots along the right-side of your file's row.
2. In the menu that appears, click on the option to 'Copy' your file.
3. On the Copy File screen, you may search for a folder by name or use the arrow icons to navigate through your folders and select a new location.
4. Click the blue 'Copy' button to save your changes.
To Copy a Folder:
1. Click on the three horizontal dots along the right-side of your folder's row.
2. In the menu that appears, click on the option to 'Copy' your folder.
3. On the Copy Folder screen, you may search for a folder by name or use the arrow icons to navigate through your folders and select a new location.
4. Click the blue 'Copy' button to save your changes.
Note: Creating a copy of a File or Folder in the same location will cause the name of the new file to be addended with "-copy" as to differentiate the newly duplicated item from the original.
A Folder or File may be edited to update the Name and File Description
To Edit a File:
1. Click on the three horizontal dots along the right-side of your file's row.
2. In the menu that appears, click on the option to 'Edit' your file.
3. On the Edit File screen, you may edit your file's name and also its description
4. Click the blue 'Save' button to save your changes.
To Edit a Folder:
1. Click on the three horizontal dots along the right-side of your folder's row.
2. In the menu that appears, click on the option to 'Edit' your folder.
3. On the Edit Folder screen, you may edit your folder's name
4. Click the blue 'Save' button to save your changes.
