Bill4Time’s new Advanced Reporting is available for all Legal Pro and Enterprise level subscription plans.
Advanced Reporting now gives users powerful tools to analyze firm performance with customizable views, dynamic filters, and a flexible report grid.
This guide walks you through how to navigate to the reports, use the new filters, run the report, and customize the report grid to your preferences.
Accessing the Advanced Reports
To view the Advanced Reports:
- Go to the Reports tab in the main navigation.
- Click on the new Advanced Reports tab.
Select Summary Report from the list as an example.
Using Filters
At the top of the report, you’ll find a filter bar to help you narrow down your data.
Standard Filters
You can quickly filter by various fields, depending upon the report. As an example, the Summary report has the following standard filters:
- Date Range (this month, last month, custom date range)
- Client
- Matter
- User
- Account Manager
More Filters
Click the More Filters dropdown to access additional filter options such as:
- Client Type
- Matter Status
- Billing Status
- And more…
You can use any combination of filters to get the exact data set you need.
Running the Report
Once your filters are set:
- Click the Run Report button.
- The report will be generated based on the filters you applied.
- You can adjust filters at any time and click Run Report again to refresh the data.
Customizing the Report Grid
The Advanced Reports grid is fully customizable to fit your workflow.
Column Chooser
- Click the Column Chooser icon in the upper-right corner of the grid.
- Select or deselect columns to display the data that matters most to you.
- Depending on the report, common columns could include:
- Client
- Matter
- User
- Non-Billable Hours
- Billed Amount
- Description
- And more
- Your selected layout will persist for your session.
Reordering Columns
- Drag and drop columns to rearrange their order in the grid.
- Your preferred layout will remain visible for your session.
Resizing Columns
- Hover between column headers until you see the resize icon.
- Click and drag to adjust column width to your liking.
- Your preferred column widths will remain visible for your session.
Grouping Your Data
Advanced Reports let you group rows so you can quickly organize and summarize your data.
Using the Group By Dropdown
At the top of the grid, click the Group By dropdown.
Select the field you want to group by—for example:
Client → groups all matters and entries under each client
User → groups data by attorney or staff member
Matter → groups by matter within each client
What Happens When You Group
The grid will automatically reorganize into collapsible sections for each group.
Each section shows a subtotal row with key metrics, such as Billable Time or Billable Amount for that group.
You can expand or collapse sections to focus on the data you need.
Multi-Level Grouping
You can group by more than one field to further analyze your data. For example:
First group by Client, then by Matter to see subtotals at both levels.
Grouping makes it easy to compare performance across clients, users, or matters without exporting the report.
Exporting the Report
To export the data:
- Click the Export icon in the top-right corner of the report to export to Excel.
- An Excel file will be downloaded to your computer.
Custom Fields
If your firm has Custom Fields enabled, you will now see them available in Advanced Reports. This gives you even more flexibility to filter and analyze your data.
Filtering by Custom Fields
Custom fields can be applied as filters in the More Filters option.
This allows you to narrow reports based on your firm’s unique data points.
Custom Fields as Columns
All of your custom fields will also appear as optional columns in the report grid.
You can add or remove them from your view using the Column Chooser.
Field Labels
Custom fields will display with their name followed by the level in parentheses.
For example:
Rate Level (Client) → This is a client-level custom field
Priority (Matter) → This is a matter-level custom field
This makes it easy to distinguish where each field applies when building or customizing your report.
Summary
Advanced Reporting makes it easier than ever to control what data you see and how you see it. Use the filters to fine-tune your results, then customize your grid to create reports that work for you.
