Overview
For Legal Pro and Enterprise plan users, the Account Balance Report shows a snapshot of every client and matter's financial standing as of a specific date, including balance due and unbilled amounts. Use this report to quickly see which clients owe money and how much unbilled work is outstanding at any point in time.
Accessing the Account Balance Report
- Go to the Reports tab.
- Select the Advanced tab.
- Scroll or search for "Account Balance." If searched, look for the result with the Advanced badge next to it.
- Click Open.
Using Filters
The Account Balance Report opens with these filters:
- As of Date: the snapshot date for the balances shown. Defaults to today's date.
- Client
- Matter
- Account Manager
- Client Type
- Matter Type
- Currency Code: defaults to your firm's primary currency. Change it if you bill across multiple currencies and want to isolate one.
- Balance Due
- Unbilled Amount
Click Filters to add more: Project Status and Client Status.
If your firm is on the Enterprise plan, any custom fields you've configured are also available here as additional filters. Custom field availability is contextual to the report; only fields for the record types actually included in this report will appear. For example, invoice custom fields won't show up as filters on a report that doesn't include invoice data.
Once you land on a combination you'll use again, click Save Filters to to mark it as a favorite, making it accessible from the Favorites report category.
Running the Report
Set your filters and click Run Report. The grid below shows each client's balance due and unbilled amount as of the date you selected. If it comes back empty, check your As of Date first, that's the most common reason a report shows nothing.
Understanding the Report Grid
Each row represents a client's financial position as of the As of Date you selected. The below are the key columns.
- Client / Client ID
- Matter / Matter ID
- Balance Due
- Unbilled Amount
Customizing the Report Grid
-
Columns: click Columns to show or hide any of the fields above, plus other available columns beyond the defaults listed here.
- Enterprise plan firms will also see the same custom fields available here as additional columns, following the same contextual rule as the filters above.
- Reordering and resizing: drag column headers to rearrange them, or drag column borders to resize.
- Sorting: click a column header to sort by that field; click it again to reverse the order.
- Group By: the report is grouped by Client by default. You can uncheck it, or group by Matter, Account Manager, Client Type, or Matter Type instead.
- Page size: the items-per-page menu at the bottom controls how many rows show at once (100 by default, up to 1000), with page controls next to it for the rest.
Exporting the Report
Click Export and choose Export to Excel to download the current view.
Tips & Common Use Cases
- Use the As of Date filter to see what a client's balance looked like on a past date, such as the end of a prior billing cycle.
- Combine with the Invoice AR Aging Report to understand not just how much is owed, but how overdue it is.
