Overview
For Legal Pro and Enterprise plan users, the Accounting Totals Report provides a comprehensive financial rollup for each client over a selected date range, combining invoiced amounts, payments, adjustments, and trust balances into a single view. Use this report to get a complete picture of each client's account activity for the period you choose.
Accessing the Accounting Totals Report
- Go to the Reports tab.
- Select the Advanced tab.
- Scroll or search for "Accounting Totals." If searched, look for the result with the Advanced badge next to it.
- Click Open.
Using Filters
The Accounting Totals Report opens with these filters:
- Date: choose a preset range (e.g. Today, This Month, This Year) or a Custom Range. Defaults to This Month.
- Client
- Matter
- Account Manager
- Client Type
- Matter Type
- Balance Due
- Unbilled Amount
- Currency Code: defaults to your firm's primary currency. Change it if you bill across multiple currencies and want to isolate one.
Click Filters to add more: Matter Status.
If your firm is on the Enterprise plan, any custom fields you've configured are also available here as additional filters. Custom field availability is contextual to the report; only fields for the record types actually included in this report will appear. For example, invoice custom fields won't show up as filters on a report that doesn't include invoice data.
Once you land on a combination you'll use again, click Save Filters to to mark it as a favorite, making it accessible from the Favorites report category.
Running the Report
Set your filters and click Run Report. The grid below updates with each client's invoiced, paid, and balance totals for the selected date range. If it comes back empty, check your date range first, that's the most common reason a report shows nothing.
Understanding the Report Grid
Each row summarizes one client's financial activity for the selected date range. The below are the key columns.
- Client / Client ID
- Matter / Matter ID
- Total Invoiced
- Total Paid
- Total Debit Adj. / Total Credit Adj.
- Balance Due
- Balance w/ Unbilled
- Unbilled Amount
- Trust Balance
Customizing the Report Grid
- Columns: click Columns to show or hide any of the fields above, plus other available columns beyond the defaults listed here.
- Enterprise plan firms will also see the same custom fields available here as additional columns, following the same contextual rule as the filters above.
- Reordering and resizing: drag column headers to rearrange them, or drag column borders to resize.
- Sorting: click a column header to sort by that field; click it again to reverse the order.
- Group By: the report is grouped by Client by default. You can uncheck it, or group by Matter, Account Manager, Client Type, or Matter Type instead.
- Page size: the items-per-page menu at the bottom controls how many rows show at once (100 by default, up to 1000), with page controls next to it for the rest.
Exporting the Report
Click Export and choose Export to Excel to download the current view.
Tips & Common Use Cases
- Use this report as a one-stop summary when preparing financial reviews for a client or the firm as a whole.
- Widen the date range to This Year to see cumulative totals rather than a single month's activity.
- Compare Balance Due to Balance w/ Unbilled to understand how much additional revenue is still uninvoiced.
