Overview
For Legal Pro and Enterprise plan users, the Inactivity Report shows the number of days since each matter last had recorded activity, helping you identify inactive matters. Use it to spot matters that may need follow-up, closing out, or a check-in with the client.
Accessing the Inactivity Report
- Go to the Reports tab.
- Select the Advanced tab.
- Scroll or search for “Inactivity Report.” If searched, look for the result with the Advanced badge next to it.
- Click Open.
Using Filters
The Inactivity Report opens with these filters:
- Last Entry Date: choose a preset range (e.g. Today, This Month, This Year) or a Custom Range. Defaults to This Month.
- Client
- Matter
- Matter Type
- Matter Status
- Matter Assigned To
- Last Invoice Date
Click Filters to add more: Account Manager, Client Type, Client Status, and Matter Created Date.
If your firm is on the Enterprise plan, any custom fields you've configured are also available here as additional filters. Custom field availability is contextual to the report; only fields for the record types actually included in this report will appear. For example, invoice custom fields won't show up as filters on a report that doesn't include invoice data.
Once you land on a combination you'll use again, click Save Filters to to mark it as a favorite, making it accessible from the Favorites report category.
Running the Report
Set your filters and click Run Report. The grid below updates with matching matters, sorted by Last Entry date. If it comes back empty, check your date range first, that's the most common reason a report shows nothing.
Understanding the Report Grid
Each row is a single matter. The default columns are:
- Client / Client ID
- Matter / Matter ID
- Matter Type
- Last Entry
- Last Invoice
- Days of Inactivity
Customizing the Report Grid
- Columns: click Columns to show or hide any of the fields above, plus other available columns beyond the defaults listed here.
- Enterprise plan firms will also see the same custom fields available here as additional columns, following the same contextual rule as the filters above.
- Reordering and resizing: drag column headers to rearrange them, or drag column borders to resize.
- Sorting: click a column header to sort by that field; click it again to reverse the order. Sort by Days of Inactivity descending to surface the most inactive matters first.
- Group By: click Group By and choose one or more fields — Account Manager, Client, Client Status, Client Type, Matter Status, Matter Type, and Matter Assigned To. Each grouping level adds a subtotal row, and Collapse folds every group down to just its subtotal.
- Page size: the items-per-page menu at the bottom controls how many rows show at once (100 by default, up to 1000), with page controls next to it for the rest.
Exporting the Report
Click Export and choose Export to Excel to download the current view.
Tips & Common Use Cases
- Sort by Days of Inactivity to quickly find the matters that have gone the longest without any recorded work.
- Filter to Matter Status: Use ‘Open’, so closed matters — which are expected to be inactive — don't clutter the results.
- Group by Matter Assigned To or Account Manager to see which team members have inactive matters that may need attention.
- Run this periodically as part of a regular file review to catch matters that have stalled.
