Overview
For Legal Pro and Enterprise plan users, the Invoice Write Up/Write Down report shows the write up/down history for invoices where the billed amount was manually changed from the original amount. Use it to see how often, and by how much, invoice totals are being adjusted.
Accessing the Invoice Write Up/Write Down Report
- Go to the Reports tab.
- Select the Advanced tab.
- Scroll or search for “Invoice Write Up/Write Down.” If searched, look for the result with the Advanced badge next to it.
- Click Open.
Using Filters
The Invoice Write Up/Write Down Report opens with these filters:
- Invoice Date: choose a preset range (e.g Today, This Month, This Year) or a Custom Range. Defaults to This Month.
- Client
- Matter
- Client Type
- Matter Type
Click Filters to add more: Account Manager, Matter Status, Currency Code, Matter Assigned To, and Client Status.
If your firm is on the Enterprise plan, any custom fields you've configured are also available here as additional filters. Custom field availability is contextual to the report; only fields for the record types actually included in this report will appear. For example, invoice custom fields won't show up as filters on a report that doesn't include invoice data.
Once you land on a combination you'll use again, click Save Filters to to mark it as a favorite, making it accessible from the Favorites report category.
Running the Report
Set your filters and click Run Report. The report opens grouped by Client by default. If it comes back empty, check your date range first, that's the most common reason a report shows nothing.
Understanding the Report Grid
Each row within a Client group is a single invoice. The default columns are:
- Invoice Date
- Client ID
- Matter / Matter ID
- Invoice Description
- Original Amount
- Billed Amount
- Write Up/Down
Customizing the Report Grid
- Columns: click Columns to show or hide any of the fields above, plus other available columns beyond the defaults listed here.
- Enterprise plan firms will also see the same custom fields available here as additional columns, following the same contextual rule as the filters above.
- Reordering and resizing: drag column headers to rearrange them, or drag column borders to resize.
- Sorting: click a column header to sort by that field; click it again to reverse the order.
- Group By: the report is grouped by Client by default. You can uncheck it, or group by Client ID, Client Type, Client Status, Account Manager, Matter, Matter ID, Matter Type, Matter Status, or Matter Assigned To instead.
- Page size: the items-per-page menu at the bottom controls how many rows show at once (100 by default, up to 1000), with page controls next to it for the rest.
Exporting the Report
Click Export and choose Export to Excel to download the current view.
Tips & Common Use Cases
- Use this report to keep an eye on how much billed revenue is being written down after time is entered.
- Widen the date range to This Year or a Custom Range if a recent adjustment doesn't appear — the default view only covers the current month.
- Group by Matter Type or Account Manager to see whether write-downs are concentrated in certain kinds of work or with certain team members.
- Cross-check with the Discount Report when you need to see percentage discounts as well as manual total adjustments.
