If a payment is reflected under clients accounting, but not project accounting indicates that the Accounting Isolation was changed from Client to Project after Invoices or Payments were created. Any Invoices which contained Entries from multiple Projects would not be considered specific to a Project in the system. Similarly, the Payments that were received while the Client was set to the Client Isolation were not assigned to a specific Project. Therefore, you would not see these Invoices or Payments in the Accounting for those Projects.
To correct this problem there are two options:
If the Client only has one Project and you know that the Client will always only have one Project, change the Accounting Isolation back to Client Accounting:
- Go to the Clients tab
- Click into the desired Client
- Click the blue Edit button
- Change Accounting Isolation on the lower right to "Client"
- Click the blue Save button
If the Client has multiple Projects, go to the desired Client and then click the Accounting subtab. There, you will have to go to every Payment that was recorded and do the following to each Payment:
- Click on the desired Payment. A pop-up window will open.
- Click the blue Edit button.
- In the Invoices Applied To section, note which invoice this Payment is applied to (for a later step) and click the grey "X" icon on the far right on any line item that appears.
- Click the blue Save button. The window will close.
- Back on the Accounting screen, choose the Payment again (use the information you noted for reference).
- Click the blue Edit button
- In the upper left, choose the appropriate Project for this Payment
- In the Unpaid Invoices section, check the box next to the Invoice number(s) you noted for reference.
- Click the blue Save button
